Assistant to Vice President, Business Affairs and Finance/Budget Analyst
Provides administrative and secretarial support to the Vice President for Business Affairs and Finance, Controller, and Director of Budget and Management that involves planning, organizing and performing a variety of complex technical, clerical, accounting, and administrative duties. Develops special administrative analyses and summary reports for review. Reviews and processes request for budget transfers to insure compliance with university policies and procedures, and verifies availability of funds. Reviews and processes personnel transaction forms for position status, availability of funds, and budget position control data. Compiles monthly personnel reports for Board of Regents information. Serves as the budget back-up for liquidation of encumbrances, LAR preparation, and quarterly USAS reconciliation. Works under general supervision of the Vice President with latitude for initiative and independent judgment. Supervises one or more clerical assistants.
Maintains budget information in Banner and Salary Planner, including position control assignments and salary. Tracks FTE and salary savings. Prepares fringe benefit information for budgeting. Monitor DPVs, Travel Vouchers, and PTFs for available budget and contacts department when budget is unavailable. Reviews Athletic Department payments before submitting to VP for approval. Analyzes accounts and prepares budget transfers to keep them balanced. Maintains files, fiscal records and restricted information. Assists in the preparation of budget spreadsheets. Enters and maintains database of budget information and funding reallocation. Prepares PowerPoint presentations of budget information. Performs specialized tasks requiring high level of skill in typing, computer operation, use of transcribing equipment, taking of minutes, preparing reports and special studies as assigned. Handles routine and confidential correspondence. Screens visitors, schedules appointments. Performs other duties as assigned.
Physical Condition:
Should have considerable progressively responsible experience in general office practices and procedures, including some administrative work and personnel supervision. Word processing/PC experience is required.
Excellent working knowledge of business English, spelling and punctuation. Knowledge of accounting terminology and reports. Thorough knowledge of modern office practices, procedures, and equipment. Skill in the use of mechanical transcribing equipment and word processing equipment. Excellent computer skills and knowledge of software technology generally applicable to accounting and budgeting; Access, Word, Excel, PowerPoint, and Publisher. Knowledge of Banner is desirable.
Bachelor's degree is required with major courses in accounting or business management.

Ability to work independently to complete difficult or complex assignments with high degree of accuracy. Ability to prepare complex reports and maintain extensive databases. Must be able to understand, interpret, explain, and apply pertinent policies and procedures clearly and accurately. Excellent communication and interpersonal skills. Ability to establish and maintain effective working relationships. *Regular reliable attendance is required. *Typing test required. *This position is designated as security sensitive and requires a criminal background check.
