Executive Assistant to President
Provides secretarial and administrative support to the university President that involves planning, organizing, and performing a variety of complex technical, clerical, and administrative duties. Responsible for the coordination of the day-to-day operation of the Office of the President. Responsible to the university President for a broad and complex set of assignments related to the duties of the university President. Administers the records retention program for the university. The Executive Assistant reports to the university President.
Handles routine and confidential correspondence. Schedules appointments, maintains files, fiscal records, and restricted information. Performs specialized tasks requiring a high level of skill in typing, computer operation, use of transcribing equipment, taking of minutes, preparing reports, and special studies. Works with the President to develop agendas for Administrative Council meetings and provides a permanent record of these meetings. Responsible for financial management of several university accounts and maintains records on these accounts. Develops and administers records retention schedules for the university and properly manages archival and destruction of university records.
Should have considerable progressively responsible experience in general office practices and procedures, including some administrative work and personnel supervision. Experience and skill in the use of personal computers, Microsoft programs and other office equipment.
Working knowledge of business English, spelling, and punctuation. Thorough knowledge of modern office practices, procedures, and equipment. Ability to type, maintain files and use office equipment such as computers, typewriters ten-key adding machines, Dictaphones, laminating and copy machines.
Prefer college degree; however, high school graduation with heavy experience in the specific job areas is acceptable.
Must be able to work in a fast-paced environment. Must be well organized and able to work independently on difficult or complex assignments. Requires excellent oral and written communication skills. Must have the ability to establish and maintain effective working relations with faculty, staff, students, and the general public. Professionalism and confidentiality are required. *Regular reliable attendance is required. *This position is designated as security sensitive and requires a criminal background check.
