Associate Registrar
Reports to the University Registrar and helps to ensure the smooth running of the Office of the Registrar. Works with the Registrar and office personnel to keep registration policies and procedures updated and as efficient and informative as possible. Assists with implementation of new registration procedures in the office as well as training campus faculty and staff on use of new registration procedures such as telephone/web registration and future technological changes to the system. Assists with the production of MSU catalogs and Schedule of Classes. Assists Registrar in compiling University and State report information. Maintains academic course inventory in the student information system, as well as through the Texas Higher Education Coordinating Board. May assist with registration of high school concurrent students who enroll individually and through high school programs and special summer programs such as Spectrum.
Supervises office staff in the absence of the Registrar. Monitors University compliance with state mandated assessment tests with regard to admission and registration procedures. Assists with coordination of state reports regarding course inventory. Maintains academic course inventory, working with deans and chairs on new courses, course changes, etc. and communicates these changes to the Texas Higher Education Coordinating Board. Addresses students at University orientation programs regarding registration procedures. Assists Registrar in coordinating improved utilization of computerized student information system. Trains office staff and MSU faculty and staff upon request regarding MSU registration procedures, testing requirements, etc. Assists Registrar as needed at special events such as Commencement, orientation, registration, Spirit Days, etc. Performs degree audits on Master's Degree candidates. Assists Registrar in determining and meeting office goals and MSU Strategic Plan.
Physical Condition
Experience in Registrar's Office or similar position on another college campus desirable as well as experience in working with on-line student information systems.
Must have a good knowledge of student admissions as well as student enrollment procedures, university policies, regulations, and degree requirements. Must be knowledgeable in standard office practices and procedures and in the use of personal computers and commonly used office software programs, such as Word, PowerPoint, Excel and Outlook. Must have some knowledge in the use of spread sheet application and of purchasing and budgeting procedures.
Bachelor's degree required.
Additional Requirements
Must have the ability to work well with people, to include interacting with faculty and administrators as well as students. Must be able to establish and maintain good working relationships with office staff in a supervisory capacity. Must be able to type 60 WPM and to use PCs for word processing and student information management. Must have strong public relations skills in dealing with the public and students. Must have good written and verbal communication skills and be able to speak in front of audiences of students, parents, faculty, and staff. Must be able to organize and prioritize workloads and perform work under stressful conditions. Must be able to handle multiple tasks. Occasional travel and night/weekend work required. *Regular reliable attendance is required. *This position is designated as security sensitive (Mod) and requires a criminal background check.
