Assistant to Vice President, Administration and Institutional Effectiveness
Provides secretarial and administrative support to the Vice President that involves performing a variety of complex technical, clerical and administrative duties. Works under general supervision of the Vice President with latitude for initiative and independent judgment. Performs a variety of administrative activities, to include planning, organization, and execution. May supervise one or more clerical assistants. Relieves the Vice President of routine administrative details. Reports to the Vice President for Administration and Institutional Effectiveness.
Develops special administrative analyses and summary reports for review. Handles routine and confidential correspondence. Performs specialized tasks requiring a high level of skill in typing, computer operation and, use of computer transcription equipment, taking minutes, preparing reports, and special duties. Responsible for oversight of functions hosted by the VPAIE. Prepares and approves invoices, requisitions, travel vouchers, and other routine documents. Makes travel arrangements, screens visitors, and schedules appointments. Maintains files, fiscal records, and restricted information. Responsible for financial management of several university accounts and maintains records on these accounts. Performs related duties as assigned.
Physical Condition
Three or more years experience related to upper level office administration. Should have considerable progressively responsible experience in general office practices and procedures, including some administrative work and personnel supervision. Computer literacy is required including current knowledge of word processing and spreadsheet software.
Excellent working knowledge of business English, spelling, and punctuation. Thorough knowledge of modern office practices, procedures, and equipment. Skill in the use of word processing software and equipment. Ability to prepare reports, letters, and budgets.
College degree preferred; high school graduation supplemented with college courses and heavy experience in the specific job areas is acceptable.
