Title: Accounting Assistant III
Description: Performs complex clerical and advanced bookkeeping work in accounting and fiscal recordkeeping. Responsible for the application of elementary and advanced bookkeeping principles to a variety of transactions in a central accounting system. Performs work according to standard bookkeeping procedures and in accordance with both state and university policies and procedures. Work is performed independently or in a group under the general supervision of the Accountant III. Reports to the Accountant III.
Examples: Process all travel vouchers, direct payment vouchers, and purchase orders for payment. Work involves entering, processing, tracking, reconciling, and analyzing accounts payable and posting journal vouchers. Process state payment vouchers within the Uniform Statewide Accounting System (USAS). Process all travel encumbrance accounting entries. Reconcile travel advance clearing account and prepare monthly reconciliations. Assist all departments on campus with inquiries. Enter and maintain vendor data in the accounts payable system, including all electronic payment processing information, remit to address, and vendor type. Reconcile daily accounts payable totals for both checks and direct deposits. Performs other related duties as assigned.
Physical Condition:
Experience: Four or more years of experience in general office work with emphasis on bookkeeping and accounting operation.
Knowledge: Working knowledge of accepted bookkeeping theories, practices, fundamental accounting policies and standard office procedures. Requires specific knowledge of university and state payment policies and procedures. Requires specific knowledge of state travel policies and procedures. Must be skilled in the use of personal computers including Microsoft applications, calculator by touch, and other general office equipment.
Education: Graduation high school or equivalent required, supplemented by courses in bookkeeping. Some college level courses preferred, but not required.
Additional Requirements: Requires excellent interpersonal and customer service skills. Must have strong written and oral communication skills and be a positive representative for MSU to a diverse population. Must be able to plan and manage tasks independently, perform detailed work with speed and accuracy, understand and follow complex detailed instructions, process work in a neat, systematic, and legible manner, and make independent decisions by applying proper policies and procedures. Strict confidentiality must be maintained. *Regular reliable attendance is required. *This position is designated as security sensitive and requires a criminal background check.
