Secretary I
Performs entry level secretarial support work under close supervision with minimal latitude for independent judgment. Work involves opening and distributing mail; receiving visitors; answering the telephone and taking telephone messages; keeping records of appointments; maintaining confidential files; and assembling and organizing materials used by the supervisor in completing work assignments.
Serves as receptionist, makes appointments and answers general questions. Types correspondence, articles, reports, specifications, payrolls, manuals, legal documents, and minutes on general or technical subjects. Opens and distributes mail. Answers multiple telephone lines. Assists people in filling out forms and applications. Maintains files and records. Enters information into computer databases. Prepares travel vouchers and requisitions. Performs basic bookkeeping work; orders supplies; and performs other related duties as assigned.
Physical Condition:
Ability to sit or stand for long periods of time and bend and stoop while filing.
Should have six months experience in responsible clerical work.
Working knowledge of business English, grammar, spelling, punctuation, office practices and procedures. Skill in the use of computer word processing equipment and standard software (Microsoft Word, Excel, Outlook). Ability to maintain accurate records, prepare reports, and compose routine letters and memoranda.
Graduation from high school, including or supplemented by courses in business practices.
Additional Requirements:
Ability to establish and maintain effective working relationships with supervisors, other employees, students, and the public. Must have good communication skills, accuracy in filing and typing, ability to answer multiple phone lines. *Regular reliable attendance is required. *Typing test required. *This position is designated as security sensitive and requires a criminal background check.
